About The Role

As a virtual Fleet Manager, you will provide support to our total outsourced clients, including the management team and drivers.

Day-to-day duties

Handling and prioritising incoming enquiries by telephone and email.
Ensure all incoming telephone calls are answered within our three-ring policy and are dealt with in a professional and appropriate manner in accordance with company policy.
Managing contract renewals and assisting with vehicle selection.
Organising demo vehicles as requested by our customers, ensuring the appropriate models are in line with driver grades and considering the Activa guidelines.
Obtaining confirmation of specification and on-the-road prices from suppliers.
Preparing vehicle quotations using our in-house system, making sure that correct discount levels have been applied and adhere to the tailored client policy.
Raising Activa proceed to order or tailor client order forms as relevant.
Sourcing and ordering of vehicles with our internal and external suppliers.
Managing day-to-day driver or vehicle concerns and understanding when to escalate to Resolutions.
Liaising closely with relevant Activa Area Manager.
Acting as an ambassador for the company on all external or internal reviews or meetings with customers and/or suppliers.
Understand the client’s requirements, guide all parties accordingly, in accordance with their Fleet Policy.
Contact new drivers to welcome them to the company car scheme, guide them through the fleet policy. Update the database and Prolease as required.
Manage SMR / safety recalls and assist driver with any relevant booking requirements and follow-up to ensure satisfaction.
Liaising with all ancillary service partners e.g. AAAM, Driver Check, DriveTech, Radius telematics, fuel card providers in partnership with Imps team.
Manage driver list (starters/leavers), liaising with logistics team for any vehicle collections, update database and Prolease.
In-life vehicle movement management, liaising with logistics and maintaining record of ‘spare/pool’ vehicles.
Arrange for any relevant authorisation letters to be sent to drivers as requested e.g. overseas travel, fitting of towbars, parking permits etc.
Manage early termination or end of contract damage enquiries, liaising with Operations or Remarketing.
Guide drivers in terms of AutoCentre set-up and use.
Guide drivers with Affinity and Salary Sacrifice enquiries.
Provide support and assistance as and when required by the Account Management team.
Ensure suppliers adhere to agreed KPIs; escalate as required to Sales Resources.
Upkeep of tailored client process documents.
Maintenance of client profiles, cost centres and reallocation of vehicles, liaising with the Implementation team.
Tailored MI as set up for individual customers – in partnership with the Data Analyst.
Analyse trends and working with Area Managers to evolve policies.
