This role will provide direct, professional, and efficient administrative support to G4S and agency staff on the LBSF contracts, ensuring contractual compliance.

Responsibilities

Reporting and Data Management:

Generating ad-hoc reports from relevant systems and data sources.
Producing monthly KPI reports for Operations/Account Managers.


Financial Administration

Raising and recording purchase orders.
Receiving and processing invoices.
Managing finances and tracking expenditures.


General Contract Support

Providing administrative support to the Leicester BSF Contract.
Assisting Site Managers and Senior Management with general duties, including clerical tasks and file management.

About The Role

We are looking for a Head of Function to join our senior management team at HMP Five Wells to provide effective management of the relevant functional department and activities in line with customer and contractual requirements whilst help create and embed our culture and values.

As a Head of Function, it is important that you have substantial and current management experience, ideally within a custodial environment and have the ability to thrive in a dynamic and challenging setting.

You will be managing a small team of direct reports responsible for delivering the day to day operation of the prison.

Some of the key responsibilities for this role are;

Manage the effective running of all relevant functions within your
Contribute to the development and delivery of the establishments overarching business strategies whilst leading on the development and implementation of your own department’s plans, strategies and policies
To promote a fair, decent and challenging regime for prisoners, which maximises opportunities whilst reducing potential risk
To work collaboratively with other functional managers to ensure that the prison meets contractual obligations
Manage contracts with external suppliers to ensure contract compliance and cost effective delivery of services
Act as Duty Director and to ensure that all incident reporting procedures are followed along with the management of incidents. Additionally, conduct Adjudications in line with standards to ensure that hearings are conducted fairly, fully and impartially in line with the establishment tariff
Assist in the promotion of creating a positive Health & Safety culture across the site leading by example, this includes the reporting of accidents and near misses in a timely manner and the application of safe systems of work for your role.
To ensure that all audits / assurance statements relevant to your functional area are delivered
To respond thoroughly and within time parameters to all prisoner applications, complaints and grievances
To actively promote the safety and decency agenda with staff and prisoners
To promote the concept of community inclusion, ensuring that all equality and diversity standards are maintained at all times
Manage and control the relevant function budget to meet financial parameters.
Coach and support staff to maximise their performance and ensure values, ethical standards, equality and diversity policies and procedures and contractual requirements are met.
To ensure that all direct reports have a bi-monthly Bi-Lat Meeting and that these are conducted throughout the function.

Job Summary / Purpose

The role of the Data Analyst (DA) is to manage the collection, input, and maintenance of data sets relating to service requirements and delivery, ensuring all inputs and outputs work to the required standards.

The DA will access, collate, analyse and process data received from a variety of sources, and support the development of a service matrix which compiles, details, tracks and reports live information and data relating to service delivery.

The DA will then work with stakeholders to review the population of systems with the correct data sets. The DA will need to maintain strong communications channels with internal and customer stakeholders to capture any changes in requirements or scope to ensure data sets remain up to date and accurate.

This role will be home based however regular travel to the division hub in Tewkesbury will be required thus a driving licence is required for this position. Residing within a commutable distance of Tewekbury is preferred.

The position requires the candidate to be flexible around the demands and requirements of the relevant projects which may include occasional evening and weekend working.

A positive and flexible attitude to teamwork and a willingness to learn and get stuck in is critical as the DA will need to support the team members and other workstreams as required with tasks and deliverables of the project.

What will you be doing
To provide remote help desk support for a range of security systems, including Intruder, Access Control, Body Worn Cameras, CCTV, Intercom, Key Management Network and 2 way audio.
To provide timely and accurate remote help desk telephone & remote system responses to site based technical issues and resolve as many system problems as possible without the need to send an engineer to the site
To provide system programming and commissioning services, in line with pre-planned roll out plans across Access Control, CCTV, Intruder Alarm, Intercom and Body Worn Camera, Key Management on the sites that are hosted within the ARC in conjunction with the site based installation team acting on configuration information provided by the installation teams.
To provide ‘go live’ support to the installation / commissioning teams to carry out all necessary acceptance testing in order to prove a system is fully operational and compliant with the agreed test plan.
Provide scheduled, carry out and record the results of all remote pre-planned preventative maintenance activities using a range of remote control software across multiple disciplines
Provide technical reference services (i.e. technical manual lookup) to field based engineers on the range of Access Control, CCTV, Intruder Alarm, Intercom, Key Management systems.
To provide a technical support service to the ARC Customer Service Team when they encounter issues on-boarding new customer Access Control, CCTV, Intruder Alarm, Body Worn Camera and 2 way audio systems.
To provide a testing service for new remotely viewable CCTV systems and ensure that they perform in line with required parameters to allow a customer system to be successfully monitored in accordance with BS8418
Keep up-to-date with various 3rd party technology products. This may involve self-learning and a willingness to participate in internal and/or external training courses which may involve out of hours working.
To provide clear, well written technical documentation for a variety of purposes.
To maintain accurate, real time records of site based interactions in Tesseract Service Centre providing customers and other G4S employees with all relevant information in a timely manner (call log numbers, progress updates etc.)
To maintain accurate and timely records of all technical issues in the company fault recording system.
What we are looking for
Previous experience of working at an engineering level with Access Control Systems, Intruder Alarms and/or CCTV systems
Previous experience of offering over the phone & remote diagnostics/PPM service
Good level of PC skills
Understanding of electrical/electronics (relays,voltage, current, etc.)
Ability to communicate technical subject matter to technically capable engineers and non technical end users
Able to work on own and in a team environment.
Share information with the team.
Good time management skills; able to meet project deadlines.
Ability to write clear, well structured reports and instructions.
Highly organized with the ability to find field reference material quickly and pull out the required information in a concise manner.
There is also some must haves
Must be able to pass BS7858 screening.
