Location: SEGA HQ Brentford, Hybrid working (3-days per week in-office)
This is a varied, hands-on role working with the SEGA HR team, predominantly servicing the SEGA Publishing team (which is our European HQ). The role sits alongside the Central Services teams (Systems, Operations, Total Reward, Learning and Development) and will play an active part in ensuring we’re as operationally smooth as possible and streamlined across functions.
Our Publishing team in West London and is currently home to approximately 200+ staff with departments including Commercial Publishing through Sales, Marketing and PR, Business Development, Business and Product Planning, Online Technology and various corporate functions including HR, Legal and Finance. The HR Team Administrator’s role will be to ensure we’re offering a consistent service to all employees through supporting and collaborating with the different departments within the HR group.
This position is a fixed-term contract with a duration of one year.
Managing the Employee Lifecycle
Oversee the team member lifecycle via Workday HRIS, including the creation of new positions within the system and general systems administration to ensure proper record keeping.
Conduct new starter onboarding meetings and deliver welcome pack, ensure a consistent and smooth journey into SEGA.
Long Service Awards: collating the report, ordering statues, processing POs, processing and sending gift cards, communicating to employees and distributing statues.
Baby boxes: Assembling baby boxes and coordinating with HR delivery to appropriate staff member.
Manage engagement and exit surveys using Culture Amp and analyse results to propose actionable insights.
Collaborate with the shared service team to ensure seamless delivery of administrative tasks related to lifecycle changes and amendments.
Payroll & Benefits
Generate the monthly payroll input data sheet and work with SEGA Payroll & Benefits Manager to ensure the smooth running of the monthly payroll process.
Act as a ‘Benefits Ambassador’ promoting awareness and accessibility of benefits among team members.
Collaborate with the shared service team to manage benefits enrolment and ensure accurate records.
Talent:
Coordinate internal approvals process on a weekly basis with the Operational Management Committee.
Partner with the Group Recruitment team to manage job postings and recruitment processes.
Work with the Communications team to support SEGA’s internal messaging and employer brand.
General Administration
Oversee the HR inbox, triaging and escalating queries to the right team/Business Partner where relevant.
Work with the shared service team to ensure data integrity and compliance of employee records within the HRIS.
Raising of Purchase Orders.
Support coordinating event logistics i.e. getting facilities and creative services briefed and together on the same day.
Support maintaining distribution lists, working with the Systems team.
Support with design briefs for HR focussed comms projects: lock screens; presentation decks etc.
Contribute to process improvements by identifying inefficiencies and creating streamlined workflow documents.
Support the coordination of SEGA training/L&D sessions, including scheduling and participant communications.
Proactively support other administrative duties across the department when required.
Knowledge, Skills And Experience
Previous administration or Project Co-ordination experience
A good understanding of the importance of good internal communication
Exceptional organisation skills and meticulous attention to detail
You're a 'people-person' with excellent communication skills, and able to work effectively with colleagues and candidates at all levels
Excellent ability to multi-task and adapt to priorities in a busy environment
Critical and creative thinker, able to identify new and innovative ways to improve the way we do things

Must be able to handle confidential information with the utmost discretion
Nice to have:
Experience using HR systems such as Workday, Lattice, Culture Amp etc.

Reporting To: Director of Compliance
Our Privacy & Compliance Managers work with key stakeholders throughout the organisation to support SEGA’s privacy and compliance programme and will support key business functions to improve and define the privacy impacts and risks in processes. The Privacy & Compliance Team will provide support and guidance to all SEGA operations in the EMEA region from our UK base.
The role will report directly to the Director of Compliance and will include a lot of variety, giving you exposure to key areas of the business. This is a great chance to be part of an engaged team driving privacy and compliance initiatives and helping to scale and implement a privacy-by-design approach across multiple teams and functions.
Key Responsibilities
Help develop and document all areas of SEGA’s privacy programme including its policies, procedures and data audits and identify opportunities to improve procedures.
Manage the day-to-day activities of SEGA’s compliance programme including
Assisting with implementing the privacy compliance process across specific business areas and auditing its implementation, especially the move towards automation.
Working closely with business areas to operationalise recommendations and ensure compliance with internal policies and processes, including leading initiatives on the completion of assessments and other onboarding documentation.
Managing the records of processing activities.
Assisting the Compliance Team with data subject requests and regulatory inquiries.
Working with the legal and security teams in managing vendor onboarding and due diligence.
Working on key data protection processes including Privacy Assessments, Data Subject rights documentation, training materials and Data Breach assessments.
Supporting any compliance-related enquiries.
Essential
Knowledge, Skills And Experience
Significant experience bringing order to chaos – tracking and shepherding projects from initial enquiry to conclusion and post mortem
Ability to work independently, balance multiple activities, prioritise issues quickly and respond to tight deadlines
Able to communicate effectively with stakeholders across the business.
Detail orientated, friendly and a team player
1 – 2 years’ experience of working in compliance or privacy, preferably within data protection and management is a plus
Preferred
Knowledge of enterprise privacy management systems (preferably OneTrust) is a plus
Relevant knowledge of privacy and regulatory frameworks including UK and EU GDPR, DPA 2018, PECR
An interest in the developing regulatory landscape, especially in regulations relevant to game development (for example UK AADC, COPPA, UK OSA).
