Missions And Key Accountabilities
CEO Personal Assistance:
Acting as a point of contact between the CEO and internal/external stakeholders for meeting organisation.
Organising meetings and appointments.
Handling sensitive company and personal information with professionalism.
Onboarding and Offboarding Support
Assisting with the administrative onboarding and offboarding of EIT Manufacturing ASBL employees.
Supporting the onboarding and offboarding process for partner organisations (members).
Office Administration – Headquarter Office
Overseeing general office administration.
Serving as the primary contact for the landlord regarding access, security, and maintenance.
Manage yearly office closures.
Handling all official correspondence (sending and receiving letters).
Travel Agency Coordination
Acting as the key user for the travel agency trip booking platform.
Managing user profiles.
Serving as the primary point of contact for technical issues and questions, liaising with the agency’s Account Manager when needed.
Event Organisation & Meeting Support
Assisting in organising internal events .
Preparing agendas, taking minutes, and following up on action items.
Operational Support
Providing assistance in cross-functional tasks within the Operations team.
Organising files, reports, and correspondence for easy access.
Qualifications And Experience
Education: A degree or relevant qualification in Business Administration, Management, Secretarial Studies, or a related field is preferred.
Experience: A minimum of 3-5 years’ experience in a similar executive support or personal assistant role, ideally within a corporate environment.
Commitment to Excellence: Adherence to the highest standards and best practices in executing team assistant functions.
Process-Oriented & Detail-Focused: Strong analytical skills with the ability to balance structured thinking and creativity.
Exceptional Communication Skills: Excellent verbal and written communication skills. Fluency in English and French is mandatory, with additional European languages considered an advantage.
Strong Organisational Abilities: Well-developed organisational skills, with a proactive approach to improving efficiency through innovative ideas and solutions.
Team Player: Ability to collaborate effectively in an international environment, understanding the value of teamwork.
Independence & Integrity: A trustworthy professional who can work independently while maintaining confidentiality.
Multitasking & Service-Oriented Approach: Organised, proactive, and capable of managing multiple tasks efficiently with a strong focus on service delivery.
Technical Proficiency: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant digital tools.

Location:
The role location will be Palaiseau or Paris 13. Remote work is allowed two days a week.
Reporting
The Administrative Officer - Operations will report to the COO of EIT Manufacturing.
